Filtering and searching for volunteers is easy in the Volunteer Tracker. Volunteer Coordinators and administrators can easily search and filter for volunteers. Click on the Volunteers tab. | |
To use the filtering and search capabilities, make your selections on the filters and search box and click on the Filter/Search Volunteers button. Use the Clear/Reset button to clear the filters and see all volunteers that you have access to. You can select multiple filter / search combinations at one time. | Note: The number of volunteers that match the search criteria is listed under the filter icon. |
The location filter will ONLY show locations that you have access to. 1) Click the arrow on the dropdown box and select a location. 2) You may now click the “Filter/Search Volunteers” button to search only by location or continue to fill in other search filters. If there is no specific location selected in the dropdown box, you will see Volunteers for ALL sites you have access to. |
The Activity filter will allow you to filter based on the activities the Volunteer has selected in their profile. 1) Click the arrow on the dropdown box and select an Activity. 2) You may now click the “Filter/Search Volunteers” button to search only by activity or continue to fill in other search filters. |
1) Enter all or part of the Volunteer’s last name in the “Last Name” search box. 2) You may now press the enter key or click the “Filter/Search Volunteers” button to search only by last name or continue to fill in other search filters. |
The Email box will allow you to search for Volunteers by their email address. 1) Enter all or part of the email address associated with the Volunteer. 2) You may now press the enter key or click the “Filter/Search Volunteers” button to search only by email or continue to fill in other search filters. |
The “Search Word or Phrase” filter will let you search for any word that is located within the Volunteers application. This can be used in combination with the filters. | Suggestions for searching: Search for Volunteers affiliated with an organization (Example: United Way) Search for Volunteers with certain language skills (Example: Spanish) Search for Volunteers based on a phone number or city ANYTHING that is listed in the volunteer application can be searched for! |
The “Star Rating” will allow you to filter Volunteers based on the number of stars they have received for logging Volunteer time. This is particularly nice if you want to send an email to Volunteers based on their star rating. |
The Created or Modified by me check box can be used to search for any Volunteers that you created (if you entered a Volunteer form for someone else) or have modified (for example updating the references section). |
The Male/Female filter will allow you to search for volunteers based on gender. This can be helpful if you need a quick count of the number of male or female volunteers. For example, you could search Male volunteers with an activity of Band Boosters to get a quick count. |
The Status filter is only available on the ALL VOLUNTEERS menu option. If Volunteer Coordinators are not allowed to see Denied volunteers, they will not have the Denied option in the status filter and will not see denied Volunteers in the All Volunteers option. |
If you have created custom check boxes to use in the approval flow of your volunteers, you can filter on these indicators from the “All Volunteers” menu option. |
The Filter / Search criteria that you use is retained for the entire browser session for each page. For example, if you search for volunteers at a particular location on the Volunteers tab and then go to another tab and then return to the Volunteers tab, the location you filtered for will still be active in the filter list. To clear filters used on a page, click on the Clear/Reset Filters button. |

Regardless of how you choose to view the applicants, the basic information about the volunteer is available without opening their application. In the first column will be their name, email address, the date their application was submitted, affiliations, children’s names and schools and languages. Move your mouse over the icon next to children’s name and languages to see the information. The next column will contain contact phone numbers. The next column will list out the schools they have elected to volunteer at and the activities they are interested in. The final column will show where they are at in the approval process. The inclusion of affiliations, child information and languages are determined by the Volunteer Administrator at your organization. |
